Refund Policy

A legal disclaimer

This Refund Policy (“Policy”) outlines the terms under which payments made to The Country Ranch (“Company,” “we,” “us,” or “our”) may or may not be refunded. By booking an event or making any payment to the Company, you acknowledge and agree to the terms of this Policy.

1. Deposits

1.1 Non-Refundable Deposit

All event bookings require a non-refundable deposit to secure your date.
Deposits will not be refunded under any circumstances, including but not limited to:

  • Cancellation by the client

  • Change of mind

  • Weather concerns

  • Failure to meet payment deadlines

  • Inability to attend or host the event

1.2 Date Is Not Reserved Until Deposit Is Received

Event dates are not guaranteed until the deposit has been paid and the rental agreement has been signed.

2. Remaining Balance

The remaining balance beyond the deposit is subject to the following refund rules:

2.1 Refund Eligibility

Refunds on additional payments (not including the deposit) may be issued only if:

  • The cancellation is submitted in writing, and

  • It is within the timeframe outlined in the client’s rental agreement

If no specific timeline is provided in the contract, the following default policy applies.

3. Standard Cancellation Timeline

Unless otherwise stated in the signed event agreement:

  • 30+ days before the event:
    Refund of any payments made beyond the deposit

  • Less than 30 days before the event:
    No refunds will be issued for any payments made

This includes cancellations due to weather, illness, scheduling conflicts, or client decision.

4. Rescheduling

Client may request to reschedule the event based on venue availability.
Rescheduled dates may be subject to:

  • Additional fees

  • Updated pricing

  • New contract terms

Deposits transfer to the new date only once and remain non-refundable.

5. No-Show or Last-Minute Cancellation

If the client does not show up or cancels with fewer than 24 hours’ notice, no refunds will be issued for any payments.

6. Third-Party Services

Payments made to outside vendors (photographers, caterers, DJs, decorators, etc.) are subject to their individual refund policies.
The Country Ranch is not responsible for refunds issued—or denied—by third-party providers.

7. Force Majeure

In rare cases where an event is canceled due to circumstances outside the control of both parties (such as natural disasters, government-mandated closures, or emergencies), payments may be:

  • Credited toward a future event date, or

  • Subject to the terms of the rental agreement

Deposits remain non-refundable.
